Instructions for the Completion of the

VHCC TIME RECORD CARD - CLASSIFIED EMPLOYEES

Time cards must be completed in either black or blue ink. No correction fluid may be used. If it is necessary to make a correction on the time card, please neatly draw a line through the erroneous entry and write the correct information above the error. The employee's supervisor must initial all corrections.

Time cards are to be completed daily.  Time cards should be submitted to the payroll office weekly (the payroll office is located in Room 106, ADM Building).  It is the supervisor's responsibility to see that the cards are calculated accurately and have been completed properly.

Items to be completed are detailed below; you may click each area of the time card form to go to references:


  1. Employee's Name

  2. Social security number - only last 4 digits required

  3. Last day of the workweek. NOTE: Remember that our workweek runs Friday - Thursday.

  4. Dates (format MM/DD) of each working day within the week recorded on this time card.

  5. Times "in" and "out" recorded for each day worked during the workweek. Please remember that no employee is allowed to work more than 6 hours without taking a 30-minute break. If a standard 8-hour day is being worked, there is no need to record times "in" and "out".

  6. Total hours worked each day. These are rounded to tenths of an hour. Please use the chart provided below to convert minutes into tenths of an hour.  Please note that the hours and minutes worked each day (morning and afternoon) should be totaled BEFORE rounding to tenths of an hour at the end of each day.

  7. Use the area within the parentheses to record any hours of Compensatory leave earned during this day.  NOTE:  Compensatory leave earned must be recorded and approved on a "Compensatory/Overtime Leave Earned" form.  (See instructions for this form here.)

  8. Total hours worked.

  9. Other hours to be paid.  This column is used to record hours such as Holiday, Sick leave taken, Annual leave taken, Compensatory leave taken, Personal leave taken, or official college closings.

  10. Use the area within the parentheses to identify the Other hours recorded by using these codes:  H = holiday pay; S = sick leave; A = annual leave; CT = Compensatory Taken; P = Personal; O = Other.  When using "O", be sure to specify the hours in the "Other" section of the Summary.

  11. Total Other Hours.

  12. Summary:  Recap the hours worked and other hours in this section.

  13. Total Hours:  The total of the "Hours Worked" column and the "Other Hours" column should match the total of the "Summary" column.

  14. Date of the Employee's signature.  Current date only.

  15. Employee's signature.

  16. Employee's department.

  17. Date of the Supervisor's signature.  Current date only.

  18. Supervisor's signature.  PLEASE NOTE:  The Supervisor's signature represents a certification that the Supervisor has checked the time card for accuracy and believes the card to be correct and complete.  It is the supervisor's responsibility to see that the cards are calculated accurately and have been completed properly.
